Design Project Coordinator

Chicago Scenic Studios seeks experienced, creative, and motivated Design Project Coordinators to join our design team.

In this role, the Design Project Coordinator will report to the Director of Design and will be responsible for organizing ongoing projects, file management, scheduling, tracking expenses, budgeting, generating reports, and research. In addition, the Design Project Coordinator will plan and manage team goals, attend meetings, take notes, evaluate potential problems, identify solutions, and coordinate workflow for the team.

This is a full-time exempt position – salary commensurate with experience.

Duties and Responsibilities

  • Works with the Creative Studio team to develop project assists: Narratives, Illustrations, Architecture, ride/show technical deliverables.
  • Track project resources
  • Research materials and items for the design team and assist in the procurement of said materials and assets.
  • Supports procurement in design with tracking of all project deliverables.
  • Support the design team in compiling, tracking, and completing paperwork necessary for the successful completion of project deliverables and projects.
  • Acts as notetaker / organizer for in-house and remote design meetings. 
  • Ability to work under pressure while managing multiple tasks and organizing work efficiently.
  • Acts as a liaison between Chicago Scenic, clients, and vendors.
  • Additional onsite work may be required.
  • Performs other related duties as assigned.
  • Take meeting minutes for projects as required.

Qualifications/Skills/Requirements

  • Must be able to work in a fast-paced environment and be able to pivot to demands of projects.
  • Themed entertainment background, or theater, film/TV, or museum installation experience required.
  • Strong understanding of the creative process.
  • Excellent ability to work as a team member in a faced paced environment.

  • Proficient with Microsoft Office Suite and/or related software.
  • General understanding and use of Adobe Suite. (Photoshop, Illustrator, InDesign)
  • General understanding of 3D model file types. (Sketchup, Rhino, 3DSMax, AutoCAD)
  • Proficiency using Gannt charts within Smartsheet and Resource Management. 

Education/Experience 

  • Bachelor’s degree in Design / Project Management and Coordination preferred
  • Minimum 3-5 Years’ experience within a Design-Fabrication company \ Location Based Entertainment Experience required.
  • Moderate walking, standing, prolonged sitting, bending, kneeling, and reaching.
  • Work is performed primarily in an office and/or client site.
  • The employee must occasionally lift and/or move up to twenty-five pounds.
